What you'll need
- The Build your own report button, which harulu switches on business by business
- Money reports ticked, to use prices, totals, invoices, payments or expenses
Build your own report is the button at the top of Reports. It is there only once harulu has switched it on for your business.
- Choose what the report is about: Visits, Invoices, Payments, Customers, Quotes, Enquiries, Expenses or Shifts.
- Choose A list to see one row for each visit, invoice and so on, and tick the columns you want. Or choose Totals to count or add up, such as the number of enquiries from each source, or the money taken by each person. Group by up to two things.
- Under Only show, add filters, such as status is Done, or total is more than £100. Choose the dates: this month, last month, this quarter, the last 12 months, or between two dates of up to five years.
- Press Show the report. Totals can be shown as a table, a bar chart or a line chart.
- Give it a name and press Save report to come back to it. Tick Share with other owners and managers to let them open it. Pin keeps a report at the top of your list. Download as a spreadsheet saves what you see, with money in pounds and pence.
Limits: dates of up to five years, 12 columns, 6 filters, 2 groups and 5 totals. A list shows the first 500 rows, and the spreadsheet has up to 10,000. Your business can save 50 reports. You can't build a report on pay, or have one emailed on a schedule.
If something goes wrong
- “You need Money reports to see this.”: invoices, payments, expenses and any price or total need Money and Can see money reports, tax and totals. Ask the owner.
- “You can't use customer details.”: names, emails and phone numbers need Customers.
- “This report is too big. Try a shorter period or fewer groups.”: a report that adds up more than 10,000 rows, or takes more than eight seconds, is stopped.
- “This field has changed.”: the report keeps what still exists. Check the columns and filters, then save it again.
Who can do this
The owner, and managers. A manager sees only the subjects and fields their access allows. Cleaners and customers never see it.
