Before you start
Visit reminders and invoices don't need consent. Marketing messages and photos of their property on your website do. Only turn these on when the customer has agreed.
- Open the customer. In Consents, turn Marketing messages or Photos on our website on or off. Each saves straight away, with the date and how it was given.
- To see every change, choose History.
- When a customer asks for a copy of their details, choose Download their data under Their data.
- When a customer asks to be deleted, choose Erase this customer. Say why, type their name to confirm, and choose Erase this customer.
What happens next
Download their data saves two files, a data file and a summary. Send both to the customer, and keep a note that you did.
Erasing deletes their name, contact details, notes, gate codes, messages, requests, quotes, photos, signatures, rating comments and portal login. Invoices, payments, and visit dates and prices are kept for your tax records, under Erased customer and their number. It can't be undone.
Customers can change their own consents in the portal, under Your details.
If something goes wrong
- “Say why this customer is being erased.”: add a reason.
- “Type … exactly to confirm.”: type their name as it is on their record.
- “They weren’t erased.”: if it's about their Direct Debit, cancel it from Direct Debit first, then erase them.
Who can do this
The owner and managers who can see and change customers change consents and download a customer's data. Only the owner can erase a customer.
