Match a bank statement to invoices

Upload a bank statement, match transfers and standing orders to invoices, and turn money going out into expenses.

What you'll need
  • A statement downloaded from your bank as a CSV or OFX file
  1. In Money, open Bank. Under Bank accounts, type a name under Add an account, such as Business current account, and choose Add account.
  2. If it's a business account, tick Business account: suggest expenses from money going out.
  3. Under Upload a statement, choose the Statement file, then Upload statement.
  4. Check Suggested matches. Each payment in shows the invoice it seems to pay, and why, such as Amount and invoice number match. Change the Invoice if it's wrong, or choose Not a customer payment.
  5. Choose Confirm … matches.
  6. Payments with no suggestion are under Not matched. Choose the invoice for each, then confirm them the same way.
  7. For a business account, check Money going out. Choose an Expense category for each line, or Not a business expense, then choose Confirm … expenses.

What happens next

Nothing is recorded until you confirm. Each match becomes a bank transfer payment on the invoice, dated the day it reached your bank. Each line going out that you confirm becomes an expense on the day it left your bank.

With Remember this payer ticked, that payer is suggested for the same customer next time. Payers we remember and Payees we remember list them, with Forget to stop.

Uploading the same statement again adds nothing. Lines you set aside are under Set aside, with Put back. To keep only some dates from an account's statements, set Keep lines from (optional) and Until (optional), then Save dates. Stop using hides an account.

If something goes wrong

  • “We couldn't read that file. Download a CSV or OFX statement from your bank and try again.”: download it again in one of those formats.
  • “That statement has no money coming in.”: check it's the right file. For money going out, tick Business account first.
  • “Name the account, like Business current account.”: type a name for it.
  • “The last date must be on or after the first.”: check the dates.
