Before you start
An invoice is overdue once its due date has passed. Reminders go by email, so check your customers have an email address on their page.
Arrears
Arrears, a tab in Money, lists every customer who owes you, with their oldest due date, how much, and their last reminder. The top shows the total owed, how much is late, and how much is over 30 and over 90 days.
- Choose Send reminder on a row, or Remind all due for everyone whose reminder is due.
- Confirm. One email goes for each overdue invoice, with a link to pay. Anyone without an email address is left out, and their row says so.
What happens next
The customer gets an email called Reminder: invoice … is overdue, with a button to pay. The row then shows Reminder sent and the date. When they pay, the invoice leaves Arrears.
Automatic reminders
In Settings, Invoicing, the owner sets Send overdue reminders: up to 5 numbers of days after the due date, such as 3, 10, 30. The usual is 7 and 14. Leave it empty for no automatic reminders. Reminders go by email each morning, at most one a day for each invoice. To do can also suggest a firmer second reminder.
Statements
To send a customer everything they've been invoiced and paid, choose their name: it opens their statement. See Customer statements.
If something goes wrong
- “This customer has no email address.”: add one on their page.
- “A reminder for this invoice has already gone today.”: try tomorrow.
- “No reminder: they pay by Direct Debit, so collect it instead.”: collect it on Money, Direct Debit.
- “No reminder: their credit covers it.” or “No reminder: it’s under £1.”: there's nothing to chase.
Who can do this
The owner and managers with Money send reminders and statements. Arrears needs money reports too. Only the owner sets automatic reminders.
