What you'll need
- Your stock items, added on the Stock tab
- The supplier's name
- In Team, open Stock and vans, then Suppliers. Choose Add a supplier, enter the Name and any contact details, then choose Save supplier.
- Open Purchase orders and choose New purchase order.
- Choose the Supplier and where to Deliver to, and an Expected (optional) date.
- Under Items, choose Add an item for each one, with its Quantity and Cost each (£). Then choose Save draft.
- Choose Print or save as PDF to send it to the supplier, then choose Mark as sent.
- When it has all arrived, choose Receive into … and confirm.
What happens next
Receiving adds every line to the place it's delivered to, and stock levels update. Part deliveries aren't recorded yet: receive it when it's all arrived. A draft can be changed with Edit order, or removed with Delete draft. Cancel order keeps it on record as cancelled.
If something goes wrong
- “Choose a supplier. Add one on the Suppliers tab first.”: add the supplier.
- “Choose where it's delivered to.”: pick the depot or a van.
- “Add at least one item.” or “Each line needs an item, a whole quantity and a cost.”: fill in every line.
- “Each item can only be on the order once.”: put it on one line.
- “You already have a supplier with that name.”: use the one you have.
- “The order didn't save. Please try again.”: nothing changed.
