What you'll need
- Approved timesheets and mileage for the period
- A pay rule for each person
harulu works out pay before tax and National Insurance. It doesn't move any money: you pay people, then record it here.
Pay rules
- Team, then Pay rules, then Add a pay rule.
- Choose the person, whether they're an Employee or a Subcontractor, and how they're paid: Hourly, Day rate, Percentage of work done or Per visit, with the rate.
- For per visit or percentage, choose what happens when two people do a visit: Split equally, or Each gets the full rate.
- Choose when it starts, and whether to Pay their mileage.
Each day is paid on the rule in force that day. To change someone's pay, add a new rule from the day it starts. The mileage rate, under Pay mileage at, is HMRC rates (45p a mile, then 25p after 10,000 miles in a tax year) or your own rate.
Pay runs
- Approve timesheets and mileage first.
- Team, then Pay runs, then New pay run. Choose the first and last day, up to two months, and Work out pay.
- Check each person. The owner can add a bonus or deduction, with a note. Warnings show work with no pay rule, and employees whose pay comes out below the National Living Wage.
- Choose Approve pay run.
- Pay people, then choose Mark everyone as paid, with the date and how you paid.
What happens next
An approved run shows each person's pay. Employees get payslips from your payroll software. Subcontractors can be sent their statement.
Send to payroll makes a file for BrightPay or Sage Payroll. Subcontractors are left out of payroll: they get a statement to download or email from the pay run. The pay summary can be printed or saved as a PDF.
Pay runs can't overlap, so nothing is paid twice. Once anyone is marked paid, the run can't be changed.
If something goes wrong
- “There's already a pay run from … to ….”: choose dates after it.
- “A pay period can be up to two months.”: make two pay runs.
- “This person already has a rule starting that day.”: change that rule, or start the new one another day.
- Work but no pay rule: add a pay rule, then choose Work it out again.
Who can do this
Only the owner sees and sets pay rules, makes pay runs and sends them to payroll. Managers with Money see pay runs, approve them and mark people paid, but can't mark their own pay as paid.
