What you'll need
- A Xero or QuickBooks account
- The owner, to connect
Connecting Xero and QuickBooks is coming soon. Your invoices and payments are all here in the meantime. In Settings, Accounting, under Money, each shows Coming soon until it opens.
Once it opens
We're turning this on business by business, so you may not see it yet. Where it's on:
- In Settings, open Accounting, under Money.
- Choose Connect Xero or Connect QuickBooks, and allow it there. You can connect one at a time: connecting one replaces the other.
- Back here, the page shows Xero connected or QuickBooks connected.
- Choose Sync now.
What happens next
Your customers, invoices, payments and expenses are sent, so you don't type them in twice. Each one is sent once, and again if it changes. Drafts aren't sent. Sent to accounting lists each record as Sent, Failed or Waiting.
To stop, choose Disconnect Xero (or Disconnect QuickBooks), then Disconnect it. Nothing more is sent until you connect again, and what was sent stays in your accounts.
If something goes wrong
- It says needs attention: Xero or QuickBooks stopped letting us send. The owner chooses Reconnect Xero (or Reconnect QuickBooks). Nothing already sent is lost.
- “Xero needs connecting again. Choose Reconnect, then sync.”: reconnect it the same way.
- “That link has expired. Start connecting again.”: choose Connect again.
- “Connect Xero or QuickBooks first.”: connect one before you choose Sync now.
- A record says Failed: the reason is next to it. Put it right, then choose Sync now again.
Who can do this
Connecting and disconnecting: the owner. Sync now: the owner, and managers with both Can change business settings, payments, accounting and the plan, and Can see invoices, take payments and set prices.
