Here is the whole journey, for a regular window clean.
- A service plan on the property says what you do, how often and the price. The schedule makes visits from it for the weeks ahead.
- On the day, the cleaner taps Start visit, then Complete visit, in the app. The visit is now done. If only part was done, the owner or a manager with Money sets that visit's price first.
- The done visit is invoiced. If you invoice after each visit, the invoice is made for you within 15 minutes. If you invoice once a month, it waits for the Invoice run in Money, Invoices. You can also invoice done visits by hand from the customer's Money tab.
- The invoice is issued. It gets a number, like INV-0042, and a PDF. If Email each invoice to the customer with a link to pay is on, invoices made for you are emailed from 8am. Otherwise, press Send invoice.
- The customer pays. Cash, cheque or a bank transfer is recorded with Record payment. A card payment comes through a payment link. Direct Debit is collected when you choose Collect by Direct Debit on the invoice.
- When the money is confirmed, the invoice shows as Paid. Card and Direct Debit payments send the customer a receipt by themselves.
If it isn't paid by the due date, the invoice shows as Overdue, appears in Arrears, and reminders go on the days you choose in Settings, Invoicing.
Who does what
- Cleaners do the visit. If the owner has turned on Cleaners see prices and payments, they can also take cash or send a card payment link.
- The owner and managers with Money make invoices, send them, take payments and collect Direct Debits.
- Only the owner changes the invoicing settings.
