Move, skip or cancel a visit

Move a visit to another day or cleaner, skip it or cancel it, and tell the customer about a move.

Not a window cleaner? Where this guide says round, you'll see route. It works the same way. You can change the word in Settings, then Scheduling.

Before you start

Only planned visits can be moved, skipped or cancelled. To move one day of a round for one week, use Move this round’s day on Schedule. When the weather stops work, use Rain delay (for window cleaning and gardening).

  1. On Schedule, open the visit.
  2. Under Move, skip or cancel, choose the Action: Move visit, Skip visit or Cancel visit.
  3. For a move, choose the New date and the Cleaner, and add a Reason (optional). For a skip or a cancel, choose a reason under Why if you like, and add Notes (optional).
  4. For a move, choose under Tell the customers: Don't tell them, By text or By email. Change the Message if you like: {first_name}, {business_name} and {date} are filled in for each customer.
  5. Choose Review change, check what it says, then choose Apply change.

To give a planned visit to someone else on the same day, choose Assign, or Choose who, next to the cleaner, and pick who does the job.

What happens next

A moved visit is locked: the nightly schedule leaves it on its new day, and Schedule shows Moved next to it. Skipping a visit leaves the next one as planned. The cleaner's phone shows the change at its next sync. If you chose to tell the customer, they get one text or email about their new day. Customers aren't told about a skip or a cancel: message them from Messages if they need to know.

If something goes wrong

  • “Someone changed this after you opened it, so your changes weren't saved. Reload to see the latest, then make your change again.”: reload the page and try again.
  • “We couldn’t change the visit. Please try again.”: nothing changed. Try again.
  • “… wasn’t told: …”: the visit moved, but the message didn't go. Check the customer's mobile or email, or message them from Messages.
  • “Keep it to 480 characters.”: shorten the message.
  • No Move, skip or cancel on the visit: it has started, finished or been cancelled. A done, no access or skipped visit can be reopened first with Reopen visit.
