Not a window cleaner? Where this guide says round, you'll see route. It works the same way. You can change the word in Settings, then Scheduling.
Every business has the same three roles: owner, manager and cleaner. You can't edit a role. Where businesses differ, the owner has a switch instead, such as Cleaners see prices and payments. Team, then Roles and permissions, shows the table.
Owners
Owners can do everything. Only owners invite people, remove them, change roles, set pay rules, change the invoicing settings, refund a Direct Debit payment, connect HMRC and close the account.
Managers
A manager uses the areas the owner ticks for them, on their page in Team, under What they can use:
- Can see and change customers and services
- Can plan the schedule, rounds and forms
- Can see invoices, take payments and set prices (Money)
- Can see money reports, tax and totals (needs Money)
- Can message customers (needs customers)
- Can approve timesheets and manage stock and vans
- Can change the website and portal promo
- Can change business settings, payments, accounting and the plan (Settings)
A new manager has every tick except money reports and settings. Press Save what they can use; they see the change next time a page loads. If a manager opens a page they don't have, they're asked to speak to the owner.
Cleaners
Cleaners work their own visits in the app. They see customers and properties, and gate codes for their own visits only. They can't change customers, plans or the schedule. They see prices and payments only if the owner turns on Cleaners see prices and payments in Settings, Business details. Even then, they can take a payment but never set a price.
Accountants
Owners can invite up to 3 accountants from Team, under Accountants, with Invite an accountant. They're free and don't count as team members. They see your income, payments, invoices, expenses, mileage and tax summary, and can correct an expense's category or VAT. They can't see your customers' contact details, rounds, team, pay, messages or settings. Accountants use the web, not the phone app.
To stop an accountant for a while, choose Pause access on their row: they're signed out of your business and can't open it until you choose Resume access. Remove ends their access for good. Either way they keep any other businesses they work for, and we email them to say what changed.
