Before you start

Your business is the controller of your customers' and staff's personal details: you decide why and how they're used. We're your processor: we store and use them only to run the software for you.

  1. Open Settings. Under More settings, choose Data and privacy.
  2. Under How long you keep data, enter the Months for a kind of data, such as visit photos, messages or website enquiries, and choose Save. Use the default puts it back.
  3. Choose Preview your privacy notice to see what your customers are told.

What happens next

When a period ends, the nightly tidy-up deletes the data or removes anything that identifies the person. Your privacy notice shows these periods. Some periods are Set for everyone: invoices and payment records are kept for 6 years, as tax law requires.

Customers see the notice on your website, on your portal's sign-in page and in the portal. To give a customer their data, use Download their data on their page; to erase a customer who asks, use the same page. Invoices and payments stay for your tax records.

If something goes wrong

  • “Choose a number of months from … to ….”: each kind has its own shortest and longest period.
  • “Your privacy notice shows once your account is active.”: preview it later.
